Privacy Policy

How CIONZ collects, uses and protects your personal information, and the rights you have over it.

The Council of Islamic Organisations of New Zealand (CIONZ) respects your privacy. This policy explains what personal information we collect through cionz.org.nz, why we collect it, who can see it, how long we keep it, and how you can access, correct or complain about it. We handle personal information in accordance with the Privacy Act 2020.

What we collect

Contact form

  • Name (required) and email address (required)
  • Organisation (optional)
  • Reason for enquiry and your message

Membership registration form

  • Organisation name, type, location, contact email and contact phone number
  • Areas your organisation is active in, and how it would like to contribute
  • Your representative’s name, position, email address, and confirmation of endorsement

Volunteer form

  • Name, email address, phone number and the city and region where you are based
  • Profession or area of expertise, and current organisation or employer
  • The CIONZ functions and areas you are interested in, and how you would like to contribute

We do not use cookies for tracking or advertising, and we do not run analytics that profile individual visitors. We do not collect any information about you unless you choose to send it to us.

Why we collect it

  • To respond to your enquiry;
  • To assess and follow up membership registrations, including arranging an initial conversation and sharing our Statement of Adherence;
  • To match volunteers to CIONZ functions and committees; and
  • To keep an internal register of member organisations and their nominated representatives.

We will not use your information for any unrelated purpose, and we will not add you to a mailing list without your consent.

Overseas transfer — Web3Forms

Form submissions are processed by Web3Forms, an overseas service provider, and delivered to us by email. By submitting a form you consent to this transfer. Web3Forms processes the submission in order to deliver it to us; we do not authorise it to use your information for any other purpose.

Who can access your information

Enquiries are received by the CIONZ Secretary and are shared only with the officers or committee members who need to act on them. Membership registrations are shared with the Majlis al-Umanā (the Board) for assessment. Volunteer submissions are shared with the officers responsible for the relevant function.

We do not sell your information, and we do not disclose it to third parties except where we are required to do so by law.

How long we keep it

  • General enquiries: kept for up to two years, then deleted.
  • Membership registrations: kept for as long as the organisation is a member, and for seven years afterwards, to meet our record-keeping duties under the Incorporated Societies Act 2022.
  • Volunteer submissions: kept for up to two years, or until you ask us to remove them.

Accuracy, access and correction

You have the right to ask us what personal information we hold about you, to see it, and to ask us to correct it. Email privacy@cionz.org.nz and we will respond within 20 working days. You may also ask us to delete information we no longer need.

Security

Submissions reach us by email and are held in CIONZ email accounts protected by strong passwords and multi-factor authentication. Access is limited to the officers named above. If a privacy breach occurs that could cause serious harm, we will notify those affected and the Office of the Privacy Commissioner as required by the Privacy Act 2020.

Complaints

If you are concerned about how we have handled your personal information, please contact our Privacy Officer first — we would like the chance to put it right. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner: privacy.org.nz, 0800 803 909, or enquiries@privacy.org.nz.
